1. What VaryLog handles

VaryLog is a construction documentation service. Depending on how you use the service, information may include account details, business and client details, project information, variation records, photos, voice recordings, transcriptions, pricing information and delivery metadata.

2. Why information is used

Information is used to provide account access, team workspaces, site capture, document generation, cloud storage, email delivery, product security, support and product improvement.

3. Service providers

VaryLog uses specialist service providers for hosting, authentication, storage, AI-assisted drafting, email delivery and infrastructure. Data is shared with those providers only as needed to operate the relevant feature.

4. AI-assisted features

When an AI-assisted feature is used, the information selected for that feature may be sent to an AI service provider to generate a draft or transcription. AI output is intended for human review and should not be treated as automatic approval, contractual advice or a final record without checking it.

5. Team workspaces

Workspace Owners and Admins may be able to access records and evidence submitted by team members. Removing a team member does not remove company records they previously submitted; those records may remain with the workspace as part of the business record.

6. Security

VaryLog uses access controls, private storage and role-based permissions designed to limit access to workspace information. No internet service can guarantee absolute security.

7. Retention and deletion

Information may be retained while an account or workspace is active and for a reasonable period afterward where needed for security, legal, backup or business-record purposes. Beta participants can request assistance with account or workspace data through the contact method provided to them during onboarding.

8. Your responsibilities

You are responsible for ensuring you have authority to upload project, client, employee and site information to VaryLog, including photos and recordings, and for complying with applicable workplace, privacy and contract requirements.

9. Changes

This policy may be updated as VaryLog moves from private beta toward public release. Material changes will be reflected by an updated date on this page.
